The Recruit Trail is a private organizing tool that helps student-athletes and their families keep track of schools, events, coach interactions and tasks during the college recruiting process. This policy explains what we collect, how it is used, and the choices you have.
Families use The Recruit Trail through a family workspace. A parent or guardian normally creates the family and adds each athlete. Each athlete profile is its own private workspace. Parents in the family can see every athlete workspace in that family; an athlete who joins by invitation can see their own workspace. No one outside the family can see a workspace unless a parent invites them.
Many athletes are under 18. We expect a parent or guardian to create the account and to supervise a minor athlete's use. We do not knowingly allow children under 13 to create their own accounts. We collect only the athlete information needed to organize recruiting (name, graduation year, position, school and club team) and ask families not to enter sensitive information such as health, financial account or government ID details. A parent may ask us to review or delete a minor's information at any time.
Account details (name, email, account type); athlete profile details; and the recruiting records you choose to enter, such as target schools, rankings, events, coach contacts, notes, tasks, recruiting intelligence entries and attached files. We also keep basic technical logs (for example sign-in times and an audit history of changes) to keep the service secure.
Your recruiting records are private to the family members you have authorized. Other families cannot view them. There are no public profiles, and we do not sell your information, show it to college coaches, or combine one family's entries with another family's. Attachments are stored privately and opened only through short-lived links for signed-in family members.
Application administrators manage accounts, access, invitations, the school directory and support requests. Administrator accounts do not have in-app access to your schools, rankings, notes, events, coach contacts, tasks, history, intelligence or files, and administrative reports show only counts and account status. For support, we rely on the description or screenshot you choose to send rather than opening your workspace. Limited technical access to stored data may exist for security, maintenance, legal compliance or support you authorize, subject to appropriate safeguards. We do not claim end-to-end encryption.
Notes, fit labels, rankings and recruiting intelligence entries are your family's own observations. We do not verify them, publish them, or use them to build public datasets. If we ever offer separately reviewed, verified recruiting data, it will be described in an updated policy and will not include your private entries without your clear permission.
Information leaves your workspace only when you choose: for example, when you download a Target List PDF or a data export, or when you send information from your own email app. Once you share a file, its recipient's use of it is outside our control. We share data with service providers only as needed to run the service (see below), or when required by law.
The Recruit Trail is hosted on cloud infrastructure that provides our database, sign-in and file storage. These providers process data on our behalf to operate the service. If we add an email delivery provider, it will receive only the information needed to deliver the messages you ask us to send.
You can request deletion of your account from Settings. We will confirm the request and remove the account and associated workspace data, except where we must keep limited records for security or legal reasons. You can export your data before requesting deletion.
Access to each workspace is enforced in our database, not only in the app. No system is perfectly secure; please use a strong, unique password and tell us if you suspect unauthorized access.
We will post updates to this policy here and note the date. Questions can be sent to the beta team through the contact details provided with your invitation.
